At the EGM / film on 14th February the members present (76.6% of the membership) agreed overwhelmingly to transfer KFS to Kinver u3a from the end of this season. Many thanks to all who attended and asked questions

As you know, we are holding an Extraordinary General Meeting at the film tomorrow night.  As there have not been any members come forward to join the committee we need to vote on the following motion. 


That Kinver Film Society will be closed at the end of the season and then transferred to u3a Kinver for the purposes of continuing the work and activities of the Society.


If you are unable to attend but wish to express an opinion, please do so via the Society email: kinverfilmsoc@gmail.com This will not count as a vote.

ACTION REQUIRED!

After many years of dedicated service and hard work, eight of the twelve members of the Kinver Film Society committee have given notice that they will not be standing again and will be resigning their positions at the end of this season, in March. This includes all the major office holders; chair, treasurer, secretary, membership secretary and bookings

secretary. The society cannot function without these vital roles being filled.

 

We are, therefore, looking for volunteers to put themselves forward for these positions. We understand that this will require a considerable amount of commitment and time and we have attached a summary of the responsibilities of each of the office holders. If you feel that you can rise to the challenge and take the society forward by taking on one of the roles, please get in touch with our secretary, Hilary Weaver, who can be contacted via e-mail at hilary.weaver1@btinternet.com. She can give you any further information. We will need to receive applications and firm commitments by Friday 9 February at the latest.

 

In the event that insufficient members put themselves forward for these essential positions, the committee has considered alternative ways forward. It was suggested that the society might be managed by u3a Kinver.  An approach has been made to u3a Kinver asking whether they might be interested in taking over the society and a positive response was received. A joint committee of film society and u3a has been established and has begun exploratory discussions.

 

We are faced with three choices:

1. The society continues with a new committee made up of volunteers who step forward in the next few weeks.

2. The society is wound up and passed to u3a Kinver who will take over and manage the society for future seasons.

3. The society closes on 31 March this year at the end of the current season.

 

At our film on 14 February, which will be an Extraordinary General Meeting (EGM), we will need to make a decision on the future of the society.

 

We are confident that the society will be able to continue in some form going into the 2024/25 season and that, with your support, it will continue to thrive for many years to come.

 

Office Holder Responsibilities

Attendance will be required at regular committee meetings (probably 10 per year) to oversee the business and finances of the society and to take decisions on film selection.

Chair

Leads all committee meetings. Liaises with the other office holders to ensure the smooth running of the society and attends and supervises film shows. Ensures that all Health & Safety rules are met and that the rules of the society are followed.

Treasurer

Responsible for all matters financial. Accounting for all receipts and payments, balancing the bank accounts, presenting regular financial updates to the committee and the preparation of annual accounts.

Secretary

Takes minutes at all meetings and circulates as necessary. Deals with all correspondence to the society. Liaises with the school regarding the booking of the theatre and books meeting rooms as necessary for committee meetings.

Membership Secretary

Responsible for the membership records (currently 214 members). Organises membership renewals

each year and ensures that the programmes are circulated to all members. Liaises with the treasurer regarding renewal payments and sends out any letters or communications to the membership. (Currently undertaken manually – there is no electronic database)

Bookings Secretary

Responsible for liaising with the licensing authorities for the showing of each film and ensuring all fees are paid and terms and conditions for public showing of the films are correct and in order.

From the end of January 2023 the theatre has only been available to us from 6-9pm, meaning that films have to start and finish very early.

​

So we need you to be here and seated at 6.30 and away as soon as the film finishes! 

​

We can only apologise to members who are still working and who will find it difficult to make it to the films. We understand too that it is a social occasion and that standing around chatting is part of the experience. Sorry if we appear to be rushing you in and out!
